Terms of Service
These terms govern your subscription to and use of the QuotCraft platform. Please read them carefully before creating an account.

By creating a QuotCraft account or by using the QuotCraft platform in any way, you agree to be bound by these Terms of Service. If you are using QuotCraft on behalf of a company or organisation, you represent that you have the authority to bind that entity to these terms.
If you do not agree to these terms, do not use the service. These terms were last updated on 1 March 2026.
2. Description of service
QuotCraft is a cloud-based business management platform for trade contractors. The service includes tools for creating quotations and invoices, managing clients and projects, collecting digital signatures, processing payments via third-party providers, connecting to wholesaler catalogues, and sending Peppol-compliant electronic invoices.
The service is provided as a subscription on the terms described in Section 5. Features available depend on the subscription plan selected. QuotCraft reserves the right to modify, suspend, or discontinue any part of the service with reasonable notice.
3. Accounts and access
You are responsible for maintaining the security of your account credentials. You must not share your login details with unauthorised users.
Multi-user accounts: You may invite additional users to your account under your subscription. Each user must accept these terms. You are responsible for the actions of all users under your account.
You must notify us immediately at support@quotcraft.com if you believe your account has been compromised. QuotCraft will not be liable for losses resulting from unauthorised account access where you have failed to maintain reasonable security.
You must be at least 18 years old and have the legal capacity to enter into contracts in your jurisdiction to create a QuotCraft account.
4. Acceptable use
You may use QuotCraft only for lawful business purposes. You must not:
Use the service to send spam, unsolicited commercial messages, or fraudulent communications to clients.
Create false or misleading invoices or quotations.
Attempt to gain unauthorised access to other accounts or to QuotCraft's systems.
Use the service to process payments for illegal goods or services.
Reverse engineer, decompile, or attempt to extract the source code of the platform.
Resell or sublicense access to the platform without written authorisation.
Use the service in a way that could damage QuotCraft's reputation or the reputation of the Peppol network.
QuotCraft reserves the right to suspend or terminate accounts that violate this acceptable use policy without prior notice.
5. Subscription and payment
Pricing: Subscription fees are listed on our pricing page at quotcraft.com/en/pricing. Prices are stated excluding VAT unless noted otherwise. VAT is applied at the rate applicable in your country of establishment.
Billing cycle: Subscriptions are billed monthly or annually in advance. Annual subscriptions are charged as a single payment and are not refundable on a pro-rated basis after the first 14 days.
Free trial: New accounts receive a 30-day free trial with access to all Professional plan features. No credit card is required for the trial. At the end of the trial, you must select a plan to continue using the service. Unused trial days are not transferred.
Payment methods: We accept major credit cards and SEPA Direct Debit. Payments are processed by Stripe. By subscribing, you authorise recurring charges to your payment method until you cancel.
Failed payments: If a payment fails, we will retry automatically. Access may be restricted after 7 days of non-payment. Accounts with outstanding balances for more than 30 days may be suspended.
Price changes: We will give you at least 30 days' written notice before increasing subscription prices. Price changes take effect at your next renewal date.
6. Data ownership
Your data is yours. QuotCraft does not claim ownership of any business data you create within the platform, including quotations, invoices, client records, or documents.
You grant QuotCraft a limited licence to process your data for the purpose of providing the service, including storing, backing up, and transmitting data as necessary.
QuotCraft will not access your business data except: (a) with your permission; (b) to provide technical support at your request; (c) where required by law; or (d) to investigate a security incident.
Data export: You may export your data at any time from your account settings. After account cancellation, a 60-day export window is provided before data is deleted.
7. Cancellation and termination
You may cancel your subscription at any time from your account settings. Cancellation takes effect at the end of your current billing period. You retain access until that date.
On cancellation, your account enters a read-only state for 60 days, during which you can export all your data. After 60 days, your data is permanently deleted in accordance with our data retention policy.
QuotCraft may terminate your account immediately if you violate these terms, engage in fraudulent activity, or if required to do so by law. In such cases, no refund is provided.
8. Intellectual property
The QuotCraft platform, its software, design, logos, and all associated intellectual property are owned by QuotCraft BV. No rights are transferred to you by these terms except the limited right to use the service as described.
You retain full ownership of all content and data you create using the platform.
9. Warranties and disclaimers
QuotCraft provides the service on an "as is" basis. We do not warrant that the service will be uninterrupted, error-free, or that it will meet every specific requirement. We make no warranties about the accuracy of financial calculations for tax purposes: you remain responsible for the correctness of your invoices and tax filings.
We target 99.9% uptime, measured monthly, and will credit affected accounts for outages exceeding this threshold in accordance with our uptime SLA available at quotcraft.com/en/status.
10. Limitation of liability
To the fullest extent permitted by applicable law, QuotCraft's total liability to you for any claim arising from or relating to these terms or the use of the service shall not exceed the amount you paid to QuotCraft in the 12 months prior to the claim.
QuotCraft is not liable for: indirect, incidental, or consequential damages; loss of profits or business; loss of data; or errors in Peppol invoice routing caused by incorrect information provided by you or by a third-party network participant.
Nothing in these terms limits liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation.
11. Governing law and disputes
These terms are governed by Belgian law. Any dispute arising from or relating to these terms shall be subject to the exclusive jurisdiction of the courts of Belgium.
For disputes between QuotCraft and consumers (B2C), EU consumer law provides additional protections that cannot be excluded by this clause.
Before initiating legal proceedings, we encourage you to contact us at hello@quotcraft.com. We will make every effort to resolve the matter amicably within 30 days.
12. Changes to these terms
We may update these terms to reflect changes in the service, applicable law, or business requirements. We will give you at least 30 days' notice before material changes take effect, by email and via a notice in the application. Continued use of the service after the effective date of updated terms constitutes acceptance. If you do not agree to the updated terms, you may cancel your subscription before the changes take effect.
